Before Your Wedding Day’ Services

  • Conducting all site inspections (if required).
  • Consultation with the Management of the Villa / Venue.
  • Contact and coordinate with all mutually agreed vendors.
  • Provide ground assistance for all selected vendors from outside Bali if required. Any cost(s) incurred will be discussed and agreed in advance by both parties and will be charged separately.
  • Prepare the itinerary of the events in consultation with you and selected vendors.
  • Book all transportation required for the wedding and reception and arrange the schedule of events with you at the cost agreed.
  • Assist in the booking of accommodation for guests if required.
  • Liaise with all vendors and venue management prior to and on the wedding date in terms of logistics and schedule of events.
  • Budget preparation and management.
  • Management of shared online wedding folder.
  • Preparing and managing a wedding planning schedule and checklist.

 

‘On Your Wedding Day’ Services

  • Coordinating the whole one day event together with the venue and vendors, from preparation until completion. Pre and post wedding day events are subject to separate fees. 
  • Ensure all services provided by each vendor are delivered on time.
  • Provide bilingual (English and Bahasa Indonesian) team.
  • Assistance by AVAVI BALI Wedding Team :
    •  Event Manager
    •  Bride’s Assistant
    •  Groom’s Assistant
    •  Bride’s Family Assistant
    •  Groom’s Family Assistant
    •  Decoration & Floor Supervisors
    •  Production Supervisor (Lights, sounds, and effects)
    •  Food and Beverages Supervisor
    • Floor Assistants/ Runners/ Ushers
  • Any other services in connection with the wedding and ceremony that shall be mutually agreed by both parties.
  • Working hours on the day : standard hours begin at preparation time as agreed per the rundown until venue curfew time (for any location that does not have a curfew time, the curfew time is set, fixed at 11PM). Any hours extended after curfew time (not including breakdown time) will be charged at IDR 2,000,000 per hour.

 

‘Post Your Wedding Day’ Services

  • Assisting client in following up post production items from vendors such as photographer, videographer, audio phonebook etc
  • Assisting client in settling breakage (if any) with related vendors 

 

Please note that for vendors contracted directly by the client, Avavi Bali has no responsibilities in relation to this vendor, other than to liaise with for planning purposes and execution of their service on the day. Any issues arising with any such vendors are the responsibility of the client, not Avavi Bali. 

SERVICE EXCLUSIONS

  • Payment of any vendors for any necessary services. AVAVI BALI can assist to facilitate payment but does not include the payment fee, tax, and any bank charges that might be incurred.
  • Any trial services such as food tasting, hair and make-up trials, etc.
  • If these charges are incurred, these charges will be charged to the client. 
  • AVAVI BALI can help you in the arrangement of the below services, but all charges will be applied to the client:
  • Holiday arrangements, restaurant bookings, or any other arrangements not related to wedding planning services.
  •  Meals for all crew and vendors on the day of the wedding.
  •  Airport transfers.
  •  RSVP and wedding website
  •  Transportation charges for wedding service suppliers, as well as transportation charges for the transportation of any event participants.

 

NOTES 

  • The total number of team members depends on the size of the wedding itself. 
  • Personal family assistants are available at an extra cost – dependent on how many people need to be taken care of and how many hours they need to be on stand by. (example : nanny, nurse, elderly assistance etc)
  • Translators for Mandarin, Cantonese and French languages can be provided at extra cost.
